Team Share Permissions


The leitzcloud was designed for team collaboration and therefore offers various functions of corporate governance. Team Shares allow multiple users to work on common contents in a central location in the cloud. You can create separate folders for different departments or projects and enable a smooth work-flow within the teams.


Roles

The following roles can be associated with every account or group that is inside the Team Share:

  • Co-Owner: Co-Owners have full control over the files and folders. Best option, if you are an administrator.
  • Collaborator: This role is the default. Collaborators can without any problems work thogether with other members by creating share links and being able to change every file locally and in the Web Cloud. Best option for team leads and project managers.
  • Editor: Editors have similar rights to collaborators, however they can not share items to people outside the Team Share. Best option for individual contributors that have to change content locally or on the Web Cloud.
  • Web-Editor: Web-editors can be compared with editors, except they only can edit files online without being able to download or synchronize them. Best option for users that work together with guests users outside the company.
  • Viewer: Viewers have limited permission and only the option to view content but not edit it. Suitable for individual authors that view content locally or in the browser but do not have to work on them.
  • Previewer: Previewers only get a preview of files in the browser. This role makes sense to share content externally to the public on the web.
  • Uploader: Uploaders only have the authorization to upload files and folders to the Web Cloud and see folder structures, but not files. Especially useful when you have to request content from users or external partners.


How to set up permissions for Team Shares:

  1. Open the “organization” view in the Web Cloud. In case your organization has further sub-organizations, select the organization where the Team Share is located.
  2. Click on the “Shares” tab. There is a list of all Team Shares that exist in the organization.
  3. To create a new Team Share, use the plus symbol on the top right. To update the permissions on an existent Team Share select “Manage Team Share Subscribers”.



  4. In the “Subscribers” section you can first select accounts and groups you want to add to the Team Share. By default all members are “Collaborators ”. If you want to change that or any other current role you can click on it in the column “Permission” and choose to role you want to assign.



  5. Save your selection by clicking “Save”.

Assigning Team Share roles when creating a user

You can also define Team Share roles right away when you create a user:

  1. Open the leitzcloud in the browser and go to “Accounts”. Select “Create User” to set up a new account.
  2. In section “Add to Team Shares” choose which Team Shares the new user has access to.



  3. There you will also find the column “Permissions” where you can determine the role of the user in that specific Team Share.



  4. Save your changes.

Notifications about unauthorized actions

When working in the leitzcloud via the Sync Tool, users who attempt to perform a non-authorized action will receive an error message.

In some cases, a user may receive a file synchronization warning. To resolve that warning do the following:

  1. When the problem occurs, the user will see an error message symbol above the Sync Tool icon in the desktop task bar.
  2. Click on the Icon and select synchronizations warnings. A window appears where it says that error occurred due to a missing authorization.
  3. To learn more about the warning, you can select "Resolve". You will then see a pop-up window describing the conflict in more detail.
  4. 4. Click on the button “Remove”. This will result in deleting the file copy without saving any changes.
