End-User guide


Welcome to your leitzcloud!

First, log in to your leitzcloud with your login data.

As a user of an organization you should have already received an email from your administrator containing your user name and your temporary password.



Once you are logged in, you will see your personal file view. There you will find an overview over your private folders and Team Shares, in which you can share, up- and download files.


Edit user account

Click on your user name at the top right to change details like your email address or password.



You will then be redirected to this form:




Download the Sync Tool

Download the leitzcloud Sync Tool to synchronize your folders and files with your Computer and edit them locally. Therefore click on your user name at the top right and select “Download Apps”. You will be forwarded to where you can choose the right application for your operating system.



Follow the installation instructions and once the installation is finished, you can log on to your account with your usual login data.


Sync folder

After installing the Sync Tool, a synchronization folder will be created on your computer. Each folder and file that is in that synchronization folder will be synchronized with the leitzcloud.

You can now simply move everything you want to store in the leitzcloud into that folder. If you already have been added to a Team Share, you can also see the files that the Team Share contains in that folder and you can now work with them.

The symbols at the bottom of the folders and files provide you with information about the status of synchronization. If you see a blue symbol, it indicates that a file is being synchronized. As soon as a green hook is visible, the synchronization is completed.


Upload files

Important! For an optimal upload, we recommend a folder and file size not bigger than 100 GB!

There are several options how to upload files to your leitzcloud. You can either move them to your synchronization folder on your computer or you can use the Web Cloud.

In the Web Cloud there are again several options:

  • Option 1: Drag and drop. Simply drag the file into "My Files" or a Team Share to upload it to the cloud.
  • Option 2: Manual upload. To upload a file using this method, first select "Upload Files".



    You will then be redirected to the following view, where you can select a file from your local directory via "Add Files" and then upload it via "Start Upload".



Tip: The best and safest way to upload files to the leitzcloud always is via our Sync Tool! This way you can easily move entire folders and keep track of possible upload errors.


Share files

There are two different ways to share files, via Team Shares and via Shares.

Team Shares allow users of the leitzcloud to create shared folders and work on files there together.

Shares are used to share files and folders with users outside the cloud (e.g. partners and customers).


Team Shares

As already explained, Team Shares are used for collaboration in a team. You can find them under the “Team Shares” tab in your Web Cloud. Each time a files in this folder is changed, the folder is also updated for every other user of the Team Share. This allows real-time collaboration.

Team Shares are created and managed by the administrators of an organization.



Provided you have permission, you can access the Team Share locally in your sync folder and work in it conveniently offline. If you are online, all changes will be applied to other users as well. If you are working on it offline and there are file collisions with another user's changes, you will be asked how you want to resolve the collision.

Tip: Lock files for editing by other users (right-click and "Lock") if you want to work on them offline and avoid collisions or if you do not want the document to be edited. In the local sync folder a lock icon will then appear next to the file, so users know not to open that file.


External Shares

To share files with people who do not have a leitzcloud account, you can create so-called guest users or share a public share link.

Sharing a file with an individual or a group is easy. With a right click on a file or folder you have the option to select "Share".



As a result you will be redirected to a form. Use the URL to share the files publicly. Anyone who has the share link can then access the file.



Once you select "Secure Share", you will have the option to send the file to existing guest users or add new guests with their email address. If the recipient wants to access the file, they must then log in with their email address and a password.



It is especially helpful to create guest users for people with whom you regularly exchange documents, as they can both download and upload documents.

You can share files externally not only via the Web Cloud. By right-clicking on the desired document, you have the option to share files via the leitzcloud directly from your desktop. Afterwards here as well the sharing window opens.

Tip: To keep the best control over your shared documents, we recommend using secured shares / guest users. Here, each recipient must identify themselves by a login name and password.


Monitor shares

Via the tab “Share Links” you will find an overview of files you shared externally. In the column “Manage” you can end or edit the share.




Restore files

In case you accidentally deleted a file you have the option to recover it. In your Web Cloud you will find a button in the file view that will show you all the deleted documents. When you click on the trash can icon, the deleted items will appear pale and you will be able to restore them.



Administrators of an organization can define how long deleted files should be retained and whether users should be allowed to permanently remove files.


What are revisions?

The leitzcloud stores continuous file versions, so-called revisions. To view or restore revisions, right-click on the corresponding file either locally or in your Web Cloud.



You will be shown all saved older file versions, which you can download or convert to a newer version.



Administrators of an organization determine how long revisions are stored.


Backups

Provided that you as a user have the required rights, you can use the "Backups" tab to create backup copies of folders that you do not synchronize.

You have then the possibility to restore or browse these backups.


Differences between backups and the sync folder

Sync folder:

  • You can access your files from any device at any time.
  • File revisions are created.

Backup:

  • Files are stored on the server and are not included in the sync folder.
  • Each time a file is changed on your computer, a revision is automatically created on the server
  • You have the possibility to restore backups exclusively via the Web Cloud.

Activity protocol

The activity log allows you to track changes made to the files.
